Terms and Conditions of Temporary Holiday Accommodation – Kaylan House.
Note: Variances can be agreed on but only by arrangement with the owner in writing.
Payment and conditions.
A non-refundable deposit of 50% is required to secure the booking. Payment of the rental deposit constitutes the clients acceptance of these Terms and Conditions.
The balance of the rental amount must be received in full 1 month prior to occupancy. If not received by this time, the owner has the right to cancel the booking and attempt to re-let it.
If a cancellation is caused by the client, money paid is not refundable unless the house is re-let for the entire period. If the house is re-let, a refund is made due to the property being re-let and a $100 administration fee will apply. (Travel insurance is recommended).
Covid Cancellations:
This condition only applies if you are affected by current travel restrictions at the time of your stay. In the event that you are unable to travel to the island due to effective travel restrictions we can offer a change of dates. If we are able to rebook the dates to another group that is not affected by travel restrictions then we can offer a refund or a change of dates. (if you haven’t booked for a peak period and wish to change to peak the higher nightly rate will apply)
Bond.
A $1000 bond is payable when booking direct with the owner and must be cleared funds no later than 7 days prior to the arrival date. The bond will be refunded in full within 7 days after departure subject to the Standard Terms and Conditions of Temporary Holiday Accommodation of Kaylan being met. It is designed to cover any additional costs and bond money will be retained to cover any expenses incurred due to, but not limited to: damage to the house, buggy or contents, any breakage, excess cleaning requirements or extra guests beyond those declared. The owners reserve the right to charge the guests to recover any costs in excess of $1000.
The owners will make every effort to ensure the property is available as booked and that the complimentary buggies are also available. However the owners reserve the right to make alterations to bookings due to unforeseen circumstances. In the unlikely event that the property is not available, a full refund for the period that the property is unavailable will be forwarded to the guest. As use of the buggies are complimentary, no compensation can be made if the buggy is damaged or is unavailable during your stay
The number of Guests should not exceed the number stated on the confirmation notice or subsequently agreed in writing or email. Fees will apply for excess guests not agreed with the owners in advance.
Parties and Functions are strictly prohibited. The price charged is for domestic use only and not commercial. Accordingly this rate does not allow for the extra wear associated with functions in terms of cleaning, garbage removal, wear and tear, repairs etc. Use contrary to this may result in loss of your bond and/or additional payments.
Damage, Breakages, Theft and Loss are the tenants responsibility during their stay. This includes the full cost of repair to damages caused to the house, contents, buggy and other items associated with Kaylan house. The owners take no responsibility for the tenants personal property.
On departure the property should be left in a similar state to its condition on arrival. This includes the garbage taken out, dishes washed and the house left tidy. Guests are not required to wash any towels or strip linen. Check-out time may be varied by written request, but is usually 10.00am by the latest, to allow time to prepare the property for the next guests.
Disturbance to our neighbours, including excessive or after hours noise, is prohibited and may result in termination of rental and loss of bond.
Pets are not allowed unless specific arrangements have been made in writing with the owner and Hamilton Island Enterprises.
The buggy.
Complimentary use of a 4 seat electric golf buggy is available during your stay for drivers over 25 years old who hold an unrestricted licence. We also have a second buggy that in most cases is also available for use during your stay. All guests who intend to drive the buggy must read the Kaylan conditions of buggy use and be able to provide their drivers licence details if required. The capacity of the electric buggy, while being satisfactory for normal running around the island, will not provide continuous use due to limitations on the motor and batteries. Available run time is generally up to a total of 75 minutes per day, with continuous use limited to about 10 to 15 minutes. These times may be reduced if high loads are placed on the buggy by repeated hill climbs. If you anticipate extensive buggy use, we recommend that you do hire an additional buggy for your stay. We can provide contact details for buggy hire if you require.
Transfers.
Complimentary Valet Transfers are included from Hamilton Island Airport, or the Hamilton Island Marina Jetty. This includes one transfer for your arrival and one for your departure for up to 10 guests. The golf buggy provided can be used for picking up or dropping off extra guests if you are not all arriving or departing on the same flight or ferry.
Alternatively additional transfers are available at a cost of $50 one way for up to 4 guests.
